Menu Prompts or Interactive Voice Responses (IVRs) permit callers to connect directly with a department or staff member.
A program of Menu Prompts is often referred to as Interactive Voice Responses (IVRs). They are a wonderful idea. IVRs help save time for the caller, reduce staff involvement and enhance confidentiality As the name implies they prompt the caller with options to select the destination of the call.
After the call is received the caller will hear the menu of options. The prompt might say something along these lines; "For new Sales enquiries, Press One; For the Service Department Press Two; For Accounts Payable, Press Three; to speak with Reception Press Four. To hear these options again Press Zero".
The Menu Prompts help callers get to the department of person they wish to speak with faster and without having to ask a staff member or receptionist to connect the call.
The self-service nature of IVRs reduces time lost by staff in directing an external call.
Customers who are regular callers and know the IVR system can save even more time by "dialling ahead". They can choose the number they need to dial without having to listen to the entire menu.
