Menu Prompts

Phone Messages

Menu Prompts or Interactive Voice Responses (IVRs) permit callers to connect directly with a department or staff member.

A program of Menu Prompts is often referred to as Interactive Voice Responses (IVRs). They are a wonderful idea. IVRs help save time for the caller, reduce staff involvement and enhance confidentiality As the name implies they prompt the caller with options to select the destination of the call.

After the call is received the caller will hear the menu of options. The prompt might say something along these lines; "For new Sales enquiries, Press One; For the Service Department Press Two; For Accounts Payable, Press Three; to speak with Reception Press Four. To hear these options again Press Zero".

The Menu Prompts help callers get to the department of person they wish to speak with faster and without having to ask a staff member or receptionist to connect the call.

The self-service nature of IVRs reduces time lost by staff in directing an external call.

Customers who are regular callers and know the IVR system can save even more time by "dialling ahead". They can choose the number they need to dial without having to listen to the entire menu.

As we are part of Media Group, the business audio specialists we are experienced in creating Menu Prompts for organisations and of every size. We work with companies in all sectors of the economy including government.

The Menu Prompts or IVRs we supply are delivered online in any file format required ready to upload to the telephone system.

Some larger organisations may have several tiers that have to be navigated in order to reach a specific destination. In such instances individual files will be supplied to accommodate any complexity.

Where multi-tiered installations are involved the caller will hear the relevant prompts as they navigate through the various levels and departments.

The prompt will advise the action required to arrive at the desired destination. The caller may hear something along these lines. "For existing account holders, please Press One; If you wish to open a new monthly account Press Two; For all other enquiries please Press Three."
